How to Use the Orders Tab

Overview

The Orders tab provides a structured interface for managing laboratory tests, diagnostic procedures, and other medical orders for your patients. It displays orders in an easy-to-read table format with editing capabilities for test names and due dates.

Getting Started

Accessing the Orders Tab

1. Open a patient note in the system 2. Click on the "Orders" tab in the navigation 3. The tab will show a count of current orders: "Orders (3)" for example

Understanding the Interface

The Orders tab displays:

  • Empty State: When no orders exist, you'll see a "No orders yet" message with a document icon
  • Orders Table: When orders are present, they appear in a structured table format

Working with Orders

Table Structure

The orders table contains three columns:

  • Test Name: The name or description of the ordered test/procedure (customized to your EHR)
  • Date: The due date or scheduled date for the order
  • Actions: Delete button for removing orders

Setting Due Dates

1. Click in the Date field for any order 2. Use the date picker that appears 3. Select the appropriate date from the calendar 4. The system supports several date formats:

  • Standard dates: MM/DD/YYYY format
  • "Today": Automatically converts to current date
  • ISO format: YYYY-MM-DD format

Date Conversion Features

The system intelligently handles date entries:

  • "Today" entries: Automatically converts to the current date
  • Various formats: Accepts multiple date input formats
  • Smart display: Shows dates in a consistent, readable format

Managing Orders

Deleting Orders

1. Locate the order you want to remove 2. Click the trash/delete icon in the Actions column 3. Order is removed immediately - no confirmation required 4. Note: Deletion is permanent and cannot be undone

Order Status and Permissions

  • Editable Orders: When the note status is "Open" or "Draft"
  • Date fields can be modified
  • Orders can be deleted
  • Locked Orders: When the note status is "Locked"
  • Test names become read-only
  • Date fields are disabled
  • Delete buttons are grayed out and non-functional
  • Tooltip shows "Cannot delete - order is locked"

Common Workflows

Adding Laboratory Orders

1. Navigate to the Orders tab 2. Review AI generated orders. 3. Update dates as needed or delete unnecessary orders. 4. Review for accuracy before saving the note.

Troubleshooting

Cannot Edit Orders

Issue: Fields appear grayed out or unresponsive Solution: Check if the note status is "Locked" - locked notes cannot be modified

Date Not Saving Correctly

Issue: Date reverts to previous value Solution:

  • Ensure you're using a valid date format
  • Try typing "today" for current date
  • Use the date picker instead of manual entry

Orders Not Displaying

Issue: Orders tab shows "No orders yet" but orders should exist Solution:

  • Refresh the patient data
  • Check if you're viewing the correct patient
  • Verify the orders were saved properly

Delete Button Not Working

Issue: Clicking delete doesn't remove the order Solution:

  • Check if the note is locked (delete is disabled for locked notes)
  • Ensure you have proper permissions
  • Try refreshing the page if the interface seems unresponsive
