Managing Your Assigned Corrective Action Plan

View Your Open CAPs

  1. Navigate to CAPs.
  2. Select Open CAPs.
  3. You’ll see a list of all open CAPs currently assigned to you.
  4. Click on any CAP to open it and review:
  1. Description of the issue
  2. Recommendations
  3. Relevant context and details

Take a moment to fully review the information before entering your response.

Provide Required Responses

Each CAP requires thoughtful input to move forward. Be sure to complete the following sections:

  • Root Cause Analysis: Clearly explain what caused the issue. Focus on the underlying cause, not just the symptoms.
  • Action Plan: Outline the specific steps you’ll take to correct the issue and prevent recurrence. Be detailed and practical.
  • Supporting Evidence Description: Briefly describe any documentation, screenshots, policies, training records, or other materials that support your response.

Your responses should be clear and complete to help reviewers quickly understand your approach.

Upload Evidence

Attach supporting documentation directly to the CAP:

  • Click Upload within the CAP.
  • Add relevant files (e.g., PDFs, screenshots, updated SOPs, training logs).

Providing strong evidence helps speed up review and approval.

Set and Update Timelines

  • Select or update the Planned Completion Date.
  • Ensure the date reflects a realistic and achievable timeline.

Keeping timelines current helps everyone stay aligned and accountable.

Add Comments

CAPs are collaborative. Use comments to keep communication clear:

  • Internal Comments - For team coordination and internal updates.
  • External Comments - To communicate directly with stakeholders or reviewers.

Clear communication helps prevent delays and confusion.

Publish Your Updates

Important: Changes are not shared automatically.

After making updates:

  1. Review your entries.
  2. Click Publish to sync and share your changes.

If you do not click Publish, your updates will not be visible to others.

Export Report

To download a list of your assigned CAPs:

  1. Navigate to your CAP list view.
  2. Click Export Report.
  3. An Excel document will download containing your assigned CAPs.

This is helpful for tracking progress, sharing updates internally, or maintaining records.
